Executive Assistant

About the Role:

Reporting to the Chief Operating Officer, this Sydney-based role supports both the COO and the National Leadership Team. It plays a key role in keeping the leadership function running smoothly by managing multiple tasks concurrently, handling diverse responsibilities, and exercising the highest level of discretion and confidentiality, while acting as a key liaison across the business.

Your duties and responsibilities:

Executive & Operations Support

  • Prepare and review documents including presentations and tailored reports (involving data analysis and market research).
  • Coordinate leadership and board meetings, including scheduling, agenda preparation, distribution of materials, and minute-taking.
  • Liaise with internal and external stakeholders to gather information, follow up actions, and support initiative outcomes.

General Administration

  • Coordinate travel arrangements, manage executive diaries, and reconcile related expenses.
  • Provide administrative support, including filing, records management, and maintenance of registers and databases.

Event Management

  • Liaise with branch office management teams to plan and coordinate events and functions.

What we are looking for

  • Minimum 5 years’ in a similar role supporting senior leaders; Experience within the construction industry is highly preferred
  • Strong attention to detail and ability to think critically to gather relevant information and make informed decisions
  • Demonstrated proactive approach, strong initiative, and sound judgement/decision making skills
  • Ability to manage a wide variety of tasks with a sense of humour and grounded approach
  • High degree of discretion and confidentiality
  • Energetic, adaptable and ability to work autonomously
  • Excellent interpersonal skills and the ability to build successful relationships
  • Advanced MS Office skills
  • Excellent written communication skills
