Bid & Office Coordinator

We are seeking a highly organised and detail-oriented Bid & Office Coordinator based in Orange to support our Regional team.

Reporting directly to the General Manager Regional, this varied role combines office administration with bid and tender management. You will be responsible for ensuring the smooth day-to-day running of the office while assisting with the preparation and submission of bids and tenders that help secure award-winning and landmark projects for the business.

This role is ideal for someone who enjoys variety, takes pride in producing high-quality work and is looking to develop their career in bid coordination, business development and office management within a collaborative and growing team.

Your duties and responsibilities:

Reporting to the General Manager Regional, you will be responsible for:

  • Bid & Tender Coordination: Manage the coordination of bids, tenders and Expressions of Interest (EOIs), including stake holder engagement, content development, submission management and review processes. Maintain a library of tender resources, project case studies, staff profiles and compliance documentation, while supporting post-tender presentations and business development initiatives.
  • Employee Support & Onboarding: Support the onboarding of new employees and contribute to a positive employee experience through the coordination of inductions and general administration.
  • Event & Office Coordination: Plan and coordinate company events, conferences and meetings. Manage the day-to-day operations and resources of the office and front-of-house activities.
  • Financial Administration: Maintain and review credit card expenses to support the General Manager’s monthly reconciliations.

What we are looking for:

  • Experience in bid/tender coordination, administration, or a similar support role.
  • Proficient in Microsoft Office Suite, with advanced skills in Word, Excel, PowerPoint, and Outlook.
  • Strong time management and organisational abilities, capable of prioritising tasks effectively in a fast-paced environment.
  • Confident and professional communicator, both written and verbal, with the ability to interact positively with staff, clients, and external stakeholders.
  • Problem-solving mindset with the flexibility to adapt to changing priorities and challenges.
